Job Overview
The Purchasing Executive is responsible for sourcing, negotiating, and purchasing goods and services that meet the organisation’s quality, cost, and delivery requirements. This role ensures the procurement process is efficient, compliant, and cost-effective, while maintaining strong vendor relationships and contributing to the overall operational goals.
Key Responsibilities
- Source and purchase goods or services in accordance with the approved budget, quality standards, and delivery timelines.
- Negotiate with vendors to achieve the best pricing, terms, and timely delivery.
- Process purchase requisitions, issue Purchase Orders (PO), and perform receiving transactions (GRN).
- Conduct vendor research and selection to optimise cost and operational efficiency.
- Build and maintain strong relationships with existing and new suppliers.
- Evaluate vendor performance and compliance with contractual agreements.
- Ensure full compliance with company policies, purchasing guidelines, procedures, and audit requirements.
- Review and manage vendor agreements, renegotiating terms as necessary.
- Conduct price comparisons to secure competitive rates and ensure value-for-money procurement.
- Support departmental cost-saving initiatives and identify opportunities for financial efficiency.
- Maintain proper and organised documentation (both softcopy and hardcopy) for procurement activities.
- Collaborate with internal teams to enhance procurement workflows and departmental performance.
- Undertake other tasks or assignments as directed by the line manager or management.
Skills and Experiences
- Diploma/Degree in Business Administration, Supply Chain Management, or related field.
- Proven experience in purchasing or procurement roles preferred.
- Strong negotiation, communication, and interpersonal skills.
- Detail-oriented with good organizational and documentation skills.
- Ability to work independently and as part of a team.
- Proficient in Microsoft Office and procurement-related systems.
