Job Overview
To support the end-to-end implementation and delivery of application solutions—specifically Customer Relationship Management (CRM), Student Management System (SMS), and Learning Management System (LMS)—ensuring successful rollout, stakeholder alignment, and adoption across academic and administrative units. This role is critical in coordinating system setup, user requirements, testing, documentation, and post-deployment support activities.
Key Responsibilities
APPLICATION IMPLEMENTATION & DELIVERY
- Assist in the planning and execution of system implementations and enhancement projects across CRM, SMS, and LMS platforms.
- Support business requirement gathering and participate in solution walkthroughs with internal stakeholders and vendors.
- Coordinate and perform system configuration, data migration, and environment readiness checks for UAT and go-live stages.
- Prepare and execute test scripts, support UAT coordination, and log issues for resolution tracking.
- Ensure timely delivery of project tasks, documentation, and handover activities.
STAKEHOLDER ENGAGEMENT & SUPPORT
- Collaborate with departments such as Admissions, Registry, Marketing, and Academic faculties to understand business needs and translate them into technical or process requirements.
- Assist in conducting system demos, end-user training, and onboarding sessions for new functionalities.
- Serve as the first point of contact for post-implementation support to ensure smooth transition to operations.
DOCUMENTATION & QUALITY ASSURANCE
- Maintain accurate project and system documentation, including business requirements, user guides, training materials, and configuration logs.
- Ensure changes are tracked, reviewed, and documented in accordance with IT and university governance processes.
- Support change management and communication efforts throughout the implementation lifecycle.
CONTINUOUS IMPROVEMENT
- Collect user feedback post-deployment and contribute to continuous improvement initiatives.
- Monitor user adoption and assist in driving system utilisation through training and process refinements.
Skills and Experiences
- Bachelor’s Degree in Information Systems, Computer Science, Business IT, or a related field.
- 1–3 years of experience in application delivery, project coordination, or system implementation roles.
- Exposure to CRM, SMS, or LMS systems (e.g., Salesforce, UNIT4, PeopleSoft, Moodle) is preferred.
- Experience in the Malaysian private higher education sector is an advantage.
- Understanding of student lifecycle and business processes in education (enrolment, academic progress, student engagement).
- Strong communication and coordination skills with both technical and non-technical users.
- Analytical thinking and attention to detail in handling testing, documentation, and issue tracking.
- Ability to manage timelines, tasks, and stakeholder expectations effectively.
- Proficient in Microsoft Office tools, and basic familiarity with system testing or project tools (e.g., JIRA, Trello) is a plus.
- Proficient in English, both written and spoken.
