Job Overview
The Examination Executive plays a critical role in managing all aspects of the examination process within the university. This position requires meticulous attention to detail, strong organizational skills, and effective communication abilities to ensure the smooth administration of examinations and the accurate recording of student results.
Key Responsibilities
Examination Planning and Coordination:
- Collaborate with academic departments to develop examination schedules and coordinate logistics for finals exam and Professional exams,
- Ensure that examination venues are equipped with necessary supplies, including exam papers, answer sheets, stationery, and technology resources
- Communicate exam schedules, procedures, and regulations to students, faculty, and staff, addressing any inquiries or concerns promptly
Examination Administration:
- Oversee the secure distribution and collection of exam materials, maintaining strict adherence to confidentiality and integrity standards.
- Monitor exam sessions to ensure compliance with established procedures including verifying student identification, enforcing exam rules, and preventing academic misconduct
- Coordinate accommodations for students with disabilities or special needs, in accordance with applicable laws and university policies
- Address any technical issues or disruptions that may arise during exam administration, collaborating with IT support staff to resolve problems promptly
Results Processing and Recordkeeping:
- Collect and collate completed exam papers, ensuring accuracy and completeness before forwarding them for grading or assessment
- Record and maintain comprehensive records of student examination results, grades, and academic progress in accordance with institutional policies and regulatory requirements.
- Generate official transcripts, grade reports, and other academic records as needed for student records and administrative purposes
- Prepare statistical reports and analysis of examination outcomes, identifying trends, patterns, and areas for improvement
Examination Security and Integrity:
- Implement and enforce security protocols to safeguard the confidentiality and integrity of examination materials, including storage, handling, and disposal procedures.
- Conduct regular audits and inspections of examination venues to identify and address potential security vulnerabilities or breaches.
- Stay abreast of emerging trends and technologies n examination security and frauc prevention, implementing best practices to mitigate risks and ensure fairness in assessment.
Stakeholder Engagement and Support:
- Serve as the primary point of contact for faculty, students, and external stakeholders regarding examination-related inquiries, requests, and issues.
- Provide training and support to faculty and staff involved in exam administration ensuring adherence to established policies, procedures, and quality standards
- Collaborate with academic committees, regulatory agencies, and accreditation bodies to ensure compliance with examination standards and accreditation requirements.
Documentation Management:
- Maintain a centralized repository or database of SOP documents, organizing and to propose or conduct a revision if deem necessary
Other tasks
- To be the Convocation Committee under Protocol unit or any other unit assigned 2. To carry out any duties or responsibility that are assigned by the Senior Manager/Manager/ Registrar/Management.
Skills and Experiences
- Minimum 3 years working experience in administration.
- Pro-active and self motivated, with the ability to work independently as well as participate within the team.
- Able to work under pressure and meet deadlines, possess a mature attitude and a good team player
