Job Overview
As a Library Executive, this position requires you to support all functions of a specialised investment library. This includes assisting library users, managing library resources, and performing administrative tasks. Candidates with knowledge and/or experience in content digitisation will have an added advantage.
Key Responsibilities
Administration & Library Development
- Plan library collections, services and facilities for users.
- Enforce the rules and safety measures.
- Maintain all office facilities, equipment, and furniture.
- Manage and control library records, files and documents.
- Distribute all internal and external letters and e-mail.
- Provide answers in response to public complaints received.
- Prepare the monthly and annual report of library and analysis library data.
- Prepare, manage and maintain Standard Operation Procedure (SOP).
- Create library forms.
- Plan and monitor the annual library budget.
- Coordinate the application of budget and control expenditure under the current procedures.
- Prepare monthly financial report.
- Plan library staff requirements in terms of expertise, quality and quantity.
- Manage the library staff training and development programme.
- Conduct briefings and library orientation programme
Acquisition
- Circulate publishers’ catalogue, book lists and acquisition request forms to the academic staff for selection.
- Visit publishers’ showrooms, warehouses and book fairs for selection of library materials.
- Select and purchase the relevant titles proposed by AMU academic staff and students.
- Manages serial acquisition including daily newspaper.
- Prepare booklist for quotation and prepare book comparison price list.
- Process received items and invoices for payment.
- Monitor and evaluate the performance of vendors.
- Prepare a monthly report on the status of book purchasing and library book expenditure.
Collection Development
- Develop the library collections through gift and exchange programmes.
- Manages restoration, binding, preservation and disposal.
- Handles the binding of back issues / loose-issues. (in-house / outsource)
Cataloguing
- Prepare cataloguing input sheet.
- Do original or copy cataloguing.
- Perform data entry using the library system.
- Embed security strips to the collection for security purposes.
- Prepare library labels for the books.
Others
- Performs all work duties and activities in accordance with AMU Library policies and procedures.
- Perform other duties assigned by AMU.
Skills and Experiences
- Bachelor’s degree in Library Science or a related field (Master’s degree preferred).
- Experience in a school library setting is an advantage.
- Strong communication and interpersonal skills.
- Proficiency in using library management software and digital resources.
